Terms of Service

The terms that govern your use of our website and services. Effective June 25, 2026.

Acceptance of these terms

These Terms of Service ("Terms") govern your access to and use of the PayMed Billing Services ("PayMed", "we", "us", or "our") website and the services we provide. By using this site, submitting our contact form, or engaging our services, you agree to these Terms. If you do not agree, please do not use the site or our services.

Our services

PayMed provides healthcare revenue cycle management services — including medical billing, credentialing, and virtual medical assistant support — to physicians, medical groups, clinics, facilities, and independent practitioners in the United States.

The specific scope, deliverables, and pricing for any engagement are defined in a separate written service agreement between PayMed and the client. Where these Terms and a signed service agreement differ, the service agreement controls.

Payment terms

We will send you an invoice at the beginning of each month for the services rendered in the previous month. Invoices are delivered electronically and itemize the charges based on the rates agreed in your service agreement.

Payment is due within 10 days of receiving the invoice. Accepted payment methods include card payment, bank ACH auto-pay, and online wire transfer. Late or missed payments may result in suspension of services and may incur additional fees as set out in your service agreement.

Credentialing and refunds

Credentialing timelines and outcomes are determined by payers and external networks and are not guaranteed by PayMed. If a payer network closes to new applications and we are unable to submit your application during the credentialing process, we will work with you to identify suitable alternative networks.

Where this occurs, any applicable fees will be adjusted to reflect the revised scope of work. Except as expressly stated here or in your service agreement, fees for services already performed are non-refundable.

Termination

Either party may terminate the engagement for a material breach of the agreement, or without cause. The party initiating termination must provide written notice to the other party at least 30 days in advance, stating the reasons where applicable.

Failing to provide the required notice may result in a penalty fee as set out in your service agreement. On termination, you remain responsible for fees for all services performed up to the effective date of termination, and we will cooperate in the orderly transition of your account.

Client responsibilities

  • Provide accurate, complete, and timely information needed to perform the services.
  • Maintain the licenses, registrations, and authority required to operate your practice.
  • Review statements, claims, and reports we provide and notify us promptly of any discrepancies.
  • Use the site and our services only for lawful purposes and in compliance with applicable laws.

Protected health information (PHI)

Any protected health information we handle on a client's behalf is governed by a separate Business Associate Agreement (BAA) and processed in line with HIPAA. Please do not submit patient records or other protected health information through this website's contact form, which is intended for general business inquiries only.

Intellectual property

The content, branding, design, and materials on this website are owned by PayMed or its licensors and are protected by applicable intellectual property laws. You may not copy, reproduce, or redistribute them without our prior written permission.

Disclaimers and limitation of liability

This website and its content are provided "as is" without warranties of any kind, whether express or implied. While we work to maximize collections and reduce administrative burden, we do not guarantee specific financial results, reimbursement amounts, or credentialing outcomes, which depend on payers and other factors outside our control.

To the fullest extent permitted by law, PayMed will not be liable for any indirect, incidental, or consequential damages arising from your use of this website. Our liability for any engagement is governed by, and limited as set out in, your service agreement.

Changes to these terms

We may update these Terms from time to time. When we do, we will revise the effective date above, and continued use of the site after changes are posted constitutes acceptance of the updated Terms.
